1. Introduction

HeritageBids (“we”, “us”, “our”) operates heritagebids.com and auctions.heritagebids.com. This Privacy Policy explains what personal information we collect, how we use it, and your rights in relation to it. By using our websites or services, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect information you provide directly, information generated by your use of our services, and information from third parties involved in a sale. This includes:

  • Identity and contact information — name, email address, phone number, mailing address, and government-issued ID provided at registration.
  • Payment information — billing address and payment method details, processed by our third-party payment processor. HeritageBids does not store full card numbers.
  • Transaction information — bids placed, lots won, invoices, and consignment submissions.
  • Usage information — pages visited, browser type, device information, and IP address, collected automatically through cookies and similar technologies.
  • Correspondence — messages you send us through our contact or consignment forms, or by email.

2. Information We Collect

  • Identity and contact information — name, email address, phone number, mailing address, and government-issued ID provided at registration.
  • Payment information — billing address and payment method details, processed by our third-party payment processor. HeritageBids does not store full card numbers.

3. How We Use Your Information

We use the information we collect to operate our auction platform and respond to you, specifically to:

  • Verify your identity and process your registration to bid.
  • Process bids, invoices, payments, and shipping arrangements.
  • Respond to enquiries, consignment submissions, and support requests.
  • Send sale announcements and account notices, and — where you have opted in — collecting guides and newsletter content.
  • Maintain the security of our platform and prevent fraud.
  • Comply with legal and tax obligations applicable to auction sales.

4. Sharing Your Information

We do not sell your personal information. We share information only as needed to operate a sale or as required by law:

  • Between buyer and consignor — as lots ship directly from consignor to buyer, the shipping name and address of each party are shared with the other as needed to complete delivery.
  • LiveAuctioneers — bidder and transaction information is shared with LiveAuctioneers for lots simulcast on that platform, governed by their own privacy policy.
  • Service providers — payment processors, shipping carriers, and technology providers who support our platform, bound by confidentiality obligations.
  • Legal and tax authorities — where required by law, subpoena, or to establish or defend a legal claim.

We never disclose a consignor’s identity to bidders, or a buyer’s bidding history to any party other than the buyer and consignor involved, except as described above.

5. Cookies

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how our site is used. Full detail on the categories of cookies we use and how to manage them is set out in our Cookie Policy.

6. Data Security

We use industry-standard technical and organisational measures — including encryption in transit, restricted internal access, and secure third-party payment processing — to protect your personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we work to protect your information to a standard appropriate to its sensitivity.

7. Data Retention

We retain personal information for as long as needed to provide our services, satisfy the purposes described in this policy, and meet our legal, tax, and accounting obligations. Transaction records are generally retained for at least seven years to satisfy financial recordkeeping requirements. Where you ask us to delete your information and no legal retention obligation applies, we will do so within a reasonable time.

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Request deletion of your information, subject to our legal retention obligations.
  • Object to or restrict certain uses of your information, including marketing.
  • Unsubscribe from marketing emails at any time using the link in any such email.

To exercise any of these rights, contact us at contact@heritagebids.com. We will respond within a reasonable time and in accordance with applicable law.
